Who we are
Ops Gurus (“Ops Gurus”, “we”, “us”) provides operational automation services for UK SMEs. We do not provide regulated financial advice.

The data we collect

  • Contact details: name, company, email, phone.
  • Enquiry & booking details: information you provide in forms (Microsoft Forms) and bookings (Microsoft Bookings).
  • Website/analytics (if enabled): device, pages viewed, interactions via Squarespace/GA4/Microsoft Clarity cookies.
  • Communications: emails/Teams messages.

We don’t intentionally collect children’s data; our services are for adults (18+).

How we collect it

Directly from you via our website, Microsoft Forms/Bookings, email or phone, and automatically via cookies/analytics (see Cookies).

How we use your data (lawful bases)

  • Respond and deliver services (contract/pre-contract).
  • Operate and improve the site and services (legitimate interests).
  • Service communications & scheduling (contract/legitimate interests).
  • Optional updates/marketing only with consent or where permitted to business contacts (consent/legitimate interests).
  • Legal/admin obligations (legal obligation).

We don’t use automated decision-making that produces legal or similarly significant effects.

Who processes your data

  • Microsoft 365 (Forms, Bookings, SharePoint/Lists, Exchange/Outlook, Teams) – forms, calendars, storage and email.
  • Squarespace – website hosting.
  • Analytics (optional): Google Analytics 4 and/or Microsoft Clarity.
  • Professional advisers and lawful disclosures where required.

International transfers

Data may be processed in the UK/EEA and other countries. Where data leaves the UK/EEA, we rely on appropriate safeguards (e.g., SCCs/UK Addendum).

How long we keep data

  • Enquiries/leads: up to 24 months from last contact (or sooner on request).
  • Clients/project records: normally 6 years for accounting/records.
  • Analytics cookies: per tool settings (see Cookies).

Your rights

You can request access, correction, deletion, restriction or objection, withdraw consent, and request portability. Email hello@opsgurus.co.uk. You can also complain to the ICO (ico.org.uk)—please give us a chance to help first.

Security

We use Microsoft 365 and Squarespace with access controls, encryption in transit and role-based permissions. Access is limited to those who need it.

Marketing

We send marketing only with consent or where permitted to existing business contacts. You can opt out anytime.

Cookies

Our site uses necessary cookies and, if you consent, analytics cookies (e.g., GA4/Clarity). You can accept/reject via the cookie banner and change settings in your browser. See our Cookies Policy.

Our site may link to other websites (e.g., booking page, social). Their privacy practices are their own; please check their notices.
